King Caps collects and categorizes data into five distinct "Vaults":
- Corporate Identity Vault: Full legal entity names, VAT certifications, and KYC documentation.
- Operational Vault: Direct contact details for procurement officers, titles, and delivery coordinates.
- Proprietary Design Vault: High-resolution brand assets, vector files (.AI, .EPS, .PDF), and Pantone® specifications.
- Financial Vault: Payment confirmations, historical billing, and tax invoices.
- Digital Vault: IP addresses and behavioral analytics to optimize our portal performance.
3. Purpose of Processing & Business Utility
We process your data only for legitimate professional purposes including:
- B2B Verification: Authenticating partners to protect our wholesale pricing structures.
- Precision Branding: Calibrating machinery for accurate logo reproduction.
- Supply Chain Management: From stock allocation to final quality control.
4. The "Brand Shield" Protocol (IP Protection)
King Caps acknowledges that the Client’s Intellectual Property (IP) is a core business asset.
- Restricted Access: Access to logo files is restricted to Design and Production on a "need-to-know" basis.
- Non-Disclosure: Your designs will never be repurposed for any other entity or competitor.
- Production Security: Physical samples containing client logos are securely archived or destroyed to prevent unauthorized circulation.
5. Security Architecture & Safeguards
We employ a "Defense-in-Depth" strategy:
- Encryption: 256-bit SSL encryption for all web traffic.
- Physical Security: 24/7 surveillance and biometric access at our Sandton production facilities.
- Data Redundancy: Daily encrypted backups to ensure business continuity.
6. Disclosure to Third-Party Service Providers
We do not sell data. Information is only shared with verified partners:
- Logistics: Limited data for "Last Mile" delivery.
- Financial: Secure clearing houses for payment processing.
7. Data Retention & The "Right to Erasure"
To ensure brand consistency for repeat orders, King Caps retains design files for five (5) years. Clients may formally request the "Right to be Forgotten," and we will comply within 30 days, provided all financial obligations are settled.
8. Your Statutory Rights (POPIA)
In accordance with South African law, you have the right to access your information, correct inaccuracies, and object to processing for direct marketing.
